What interim cleaning actually does
Encapsulation applies a polymer that surrounds soil particles and dries into brittle crystals. Those crystals, with the soil locked inside, come out with subsequent vacuuming over the next several days.
That mechanism explains both the strengths and the limits. Very little water goes down, so the carpet is walkable in well under an hour and can be cleaned on a normal work night. But the polymer works where it is applied, which is the upper part of the pile, and it leaves residue behind by design.

Because it operates in the upper pile and leaves polymer residue behind. Soil that settles into the base of the pile and the backing never gets removed, so it accumulates cycle after cycle. Buildings that skip restorative extraction usually see appearance plateau somewhere in the first or second year, no matter how often interim work is scheduled.
What restorative cleaning does that interim cannot
Hot water extraction flushes the fiber with heated solution under pressure and immediately recovers it by vacuum, along with the suspended soil. Done properly it includes an acid-side rinse that strips detergent and polymer residue out of the pile.
That rinse is the part people underestimate. Residue is what makes carpet re-soil quickly after cleaning, because a sticky pile grabs the next round of dry soil that lands on it. A clean carpet that gets dirty again in three weeks is usually a rinse problem, not a traffic problem.
Restorative work also reaches contamination that interim work cannot: spilled coffee that soaked to the backing, ground-in food soil in a break room, and the accumulated grease that collects near a kitchen or a service door.

Trigger points that override the calendar
A good program cleans on condition as well as on schedule. Four triggers are worth writing into the plan.
Appearance falls below the target level for that zone. Photograph the same spots monthly so this is measured rather than argued.
Interim work stops producing a visible change. That is the signal that soil load has outrun the method and restorative extraction is due.
Wicking after a spot clean. Soil rising as the pile dries means there is contamination in the backing that only extraction reaches.
A season change. Wet months push more soil through the door in a few weeks than dry months do in a quarter.
The downtime trade-off
This is where most plans get decided in practice. Interim cleaning costs almost no downtime and can run zone by zone during a night shift. Restorative extraction needs a drying window, which means a weekend, a holiday, or a genuinely staged rotation with air movers.
